HoneyBook vs Dubsado vs Paperbell pricing for client intake: which entry plan can actually book the call

HoneyBook from $29, Dubsado $335 a year, Paperbell $57. Read from vendor pages 16 September 2026, and two of the three entry plans cannot book an appointment.

HoneyBook starts at $29 a month, Dubsado at $335 a year and Paperbell at $57 a month, but only one of those entry plans can book an appointment. Read from each vendor's own pricing page on 16 September 2026: Dubsado lists scheduling as a Premier feature and marks it with a cross on Starter, and HoneyBook first includes its Scheduler on Essentials. Paperbell sells one plan with scheduling in it. So if the point of your intake is to turn an inquiry into a booked, paid conversation, the honest entry prices are $43.75 a month on Dubsado, $49 a month on HoneyBook and $57 a month on Paperbell.

This comparison is for independent consultants, coaches and boutique agencies choosing where client intake lives. It uses only figures displayed on the vendor pricing pages on the date shown, because several of the widely shared comparison articles about these three tools are quoting numbers that are not on those pages at all.

The cheapest plan is not the cheapest plan that works

Dubsado publishes its comparison table with ticks and crosses, and the crosses are where the money is. Starter gets email integration, unlimited projects and clients, invoicing, form and email templates, client portals, calendar connection and the mobile app. It does not get scheduling, automated workflows, public proposals, Zapier or the bookkeeping integration, and it caps active lead capture forms at one.

That last pair is worth sitting with. One active lead form means one set of questions for everything you sell. If you offer a strategy intensive and a retainer and a workshop, they all funnel through the same form on Starter, or you swap the form over each time you change what you are promoting.

HoneyBook splits the same way but at different points. Starter includes unlimited clients and projects, invoices and payments, proposals and contracts, a calendar, templates, a client portal, basic reports and up to two live lead forms. The Scheduler, automations and the QuickBooks Online integration all start on Essentials, which is $49 a month billed yearly or $59 billed monthly. Essentials also raises the form cap to ten and allows two team members.

Dubsado's annual-only pricing hides the same jump. $335 a year works out at $27.92 a month and $525 a year at $43.75 a month, and the page notes that choosing annual saves two months. When we read the same page on 24 August 2026 it displayed monthly rates of $35 and $55 beside the annual figures, and those monthly rates are no longer shown. Dubsado does not display a monthly figure, which makes it look cheaper than HoneyBook in a headline comparison and slightly more expensive than HoneyBook once you compare the tiers that can actually book.

Check the numbers you have been told

Three of the comparison articles ranking for these brands currently state HoneyBook Essentials at $36.75 a month and Premium at $52.50, and Dubsado at $20 and $40 a month. Reading the vendor pages on 16 September 2026, HoneyBook displays $29, $49 and $109 billed yearly with $59 and $129 shown as the monthly rates, and Dubsado displays $335 and $525 a year with no monthly figure anywhere. A listing we found also puts Paperbell at $40 a month against the $57 on its own page.

None of that is necessarily dishonest, because SaaS prices move and stale articles are the norm. It does mean the only figure worth budgeting against is the one on the vendor's page on the day you buy, ideally screenshotted. What each one is actually best at

Paperbell is the most complete single purchase of the three if you coach. The $57 plan includes a coaching website, scheduling, packages and payment, a client portal, contract signing, email workflows, surveys and forms, group coaching tools, video call integration, session notes, digital downloads and online classes, with no add-ons and no transaction fee of its own. It is built for coaches selling packaged programs, and a consultant billing by the project will pay for parts of it they never open.

Dubsado suits the operator who wants to build a process and then stop thinking about it. Premier's workflows, public proposals and Zapier connection reward the week or two of setup it takes to configure properly. That setup time is real and it is the most common complaint about the platform.

HoneyBook is the fastest to get running and the most forgiving if you are not going to configure anything. Its Starter tier is also the only genuinely cheap way into this market at $29 a month, as long as you accept that people will email you to arrange times.

Payment handling is worth a line. HoneyBook's fee block states card fees starting at 2.7% plus 10 cents and ACH bank transfers at 1.5%, although its own feature comparison table elsewhere on the same page shows fees starting at 2.9% plus 25 cents, so confirm which applies to your account before you forecast. If getting paid on time is your real problem rather than getting booked, none of these three chases anything for you, and software that chases every overdue invoice automatically solves a different bottleneck better than switching intake tools will.

Which is better for client intake, HoneyBook or Dubsado?

For intake specifically, HoneyBook. Its entry tier allows two live lead forms against Dubsado's one, its Scheduler appears one tier lower in real terms, and it takes days rather than weeks to set up. Dubsado wins once you have several services with genuinely different processes behind them, because Premier's automated workflows can route each one differently and HoneyBook's automations are simpler.

Do consultants need a CRM or just intake software?

It depends on where your unpaid hours go. If they go on contracts, invoices and payment chasing, buy the CRM: that is the half HoneyBook, Dubsado and Paperbell are built for. If they go on working out which inquiries are worth a call, going back and forth for details, and writing up notes before each conversation, a client management platform will not help much. It stores what people typed. It does not decide whether an inquiry is worth your Tuesday.

How much does client intake software cost for a small consultancy?

Budget $50 to $130 a month for a working setup with two or three people. HoneyBook Essentials at $49 a month billed yearly covers two team members. Dubsado Premier at $525 a year includes three additional users before charging, then $25 a month for four to ten, $45 for eleven to twenty and $60 for twenty one to thirty, plus $10 a month per additional brand. Paperbell sells a single $57 plan. Consultations counts professionals instead, at one, five or twenty.

Questions to get answered in writing

  • Can the tier I am buying schedule appointments, or is that the tier above
  • How many active lead capture forms can I run at once on this tier
  • Is the price quoted the annual rate, and what is the monthly rate next to it
  • What does the second and third user cost per month
  • What are the card and bank transfer processing fees on top of the subscription
  • If I cancel, what happens to my client records and in what export format
