A form captures answers; it does not screen the person giving them

The reason form builders feel like they should solve intake is that intake starts with questions, and a form is very good at asking questions. The trouble begins at the second question. A real intake conversation branches on what the person just said, and it branches in ways nobody can enumerate in advance. Someone types "employment issue" in a free text box. A human would ask whether they were fired or still employed, when it happened, whether there is a written contract, and whether they have already filed anything. A form asks whatever you put in the next field.

Conditional logic narrows that gap and Jotform conditional logic is good, but it only ever fires on branches you predicted. The cases that cost you money are the ones you did not predict: the person outside your state, the matter outside your practice area, the budget three times below your fee, the deadline that already passed. A form submission is a lead, not a client, and somebody on your team now has to read it, decide, reply, ask the missing questions, chase the documents and offer times. That follow-up work is invisible in the software bill and it is usually the most expensive part of the whole process.

What Jotform does better than we do

Jotform beats us comfortably on breadth, and pretending otherwise would be silly. If you need thirty different forms across a business, a template for almost any situation, payment fields wired to Stripe or Square, e-signature, offline mobile collection, PDF generation and a two hundred item integration list, Jotform does all of that today and does it well. Its free tier is real rather than a trial, and its 50 percent nonprofit and education discounts are unusually generous in this market.

It also wins outright on cost per collected record. At \$408 a year Bronze includes a thousand submissions a month, which is about three and a third cents each. Nothing that runs a conversation is going to match that, because a conversation costs more to produce than a page of fields. If your genuine need is high volume structured data collection, buy the form builder. We are the better fit only when each inquiry is a stranger who has to be screened, and when a booked, paid, documented appointment is the outcome you are paying for.

The HIPAA gate is the one that catches people out

Read from Jotform own plan data on 26 August 2026, HIPAA compliance is switched on for exactly one self serve plan: Gold. Bronze and Silver both return false for HIPAA, and the free tier does too. Jotform own pricing FAQ says the same thing in words, describing Gold as the plan that "provides optional HIPAA compliance features". So a solo therapist, a small dental practice or a two person clinic that needs a business associate agreement cannot buy the \$39 or \$49 plan at all. The cheapest compliant Jotform is \$129 a month, or \$99 a month if you prepay the year, which is \$1,188 up front.

That matters because the compliance requirement is usually not correlated with volume. A solo counselor might take fifteen new clients a month, which fits inside Bronze twenty times over, and still be legally obliged to have a BAA. The plan that fits their volume is not the plan that fits their law, so they pay Gold prices for Bronze usage. This is the same tier gating pattern we have documented across this market: the advertised entry price rarely buys the thing the buyer actually needs.

It is worth knowing the alternative. IntakeQ, read from its own pricing page the same day, includes a HIPAA BAA on every plan, starting at \$29.90 a month on its low volume Forms Only tier, with \$54.90 for the standard forms plan and \$84.90 once you add scheduling, payments and a client portal. The catch is volume: that \$29.90 tier includes ten form submissions a month, which works out at about \$2.99 each. So the honest summary is that Jotform is far cheaper per record and IntakeQ is far cheaper to become compliant, and which one is wrong for you depends entirely on how many clients you actually take.

Read the annual discount before you assume prepaying always pays

Jotform annual discount is not a single percentage, which is unusual enough to be worth checking against your own plan. Bronze goes from \$39 a month to \$408 a year, which is \$34 a month and a saving of about 12.8 percent. Silver goes from \$49 to \$468, which is \$39 a month and 20.4 percent. Gold goes from \$129 to \$1,188, which is \$99 a month and 23.3 percent. The more expensive the plan, the more you are rewarded for prepaying, so the annual decision is worth making per tier rather than as a policy.

The two year option is the opposite story. Jotform biennial prices are \$816, \$936 and \$2,376, which are exactly twice the one year figures on all three tiers. Committing to a second year buys you no additional discount at all, only the loss of flexibility. That is a genuinely different structure from vendors like TaxDome, which publishes lower per seat rates for two and three year terms, and it is the kind of detail that a comparison table of headline prices will never show you.
