Typeform alternative for client intake: AI that qualifies, books, and briefs
Typeform is loved for beautiful, conversational forms and surveys. Its one question at a time design feels friendly, completion rates are high, and it is a great way to collect responses with logic, branding, and a polished experience. For forms and surveys, it is hard to beat.
Consultations is built specifically for client intake, and it goes past collecting answers. Our AI runs an intake conversation that qualifies the lead against your criteria, collects the details and documents you need, books the paid appointment, and hands you a prepped brief. Where a form ends with a submitted response, Consultations ends with a qualified, booked, prepped client, so the whole front door is one conversation rather than a form plus a calendar plus follow up.
If you are comparing conversational form alternatives, the useful question is what the tool does after the last answer. Every conversational form builder in this category, Typeform included, produces a completed response and then hands the work back to you: someone still has to read it, decide whether the inquiry fits, ask what the form did not think to ask, chase the documents, and find a time. An intake form alternative that only changes how the questions look leaves that entire second half in place. Consultations closes it. The conversation is genuinely responsive rather than branching down predefined logic, and it ends with a screened inquiry, the documents collected, and an appointment on the right calendar.

In short
Last updated July 2026
Typeform is a form and survey builder, so the right Typeform alternative depends on what the form is failing to do. If you only need cheaper forms, most competitors in that category undercut it. If the problem is that a completed form still leaves you to read it, qualify the person, chase documents, and find a time, Consultations is the alternative: an AI intake conversation qualifies each inquiry against your criteria, collects the documents, books the paid appointment, and hands you a brief. Typeform publishes Basic at $28 a month for 100 responses, Plus at $56 for 1,000, and Business at $91 for 10,000, with HIPAA restricted to Enterprise. Consultations is $49 to $299 a month for the whole business at any volume (prices checked July 2026).
Typeform is outstanding for beautiful, conversational forms and surveys with high completion. Consultations is purpose-built for client intake and goes beyond collecting answers: an AI conversation that qualifies the lead, collects documents, books the paid appointment, and preps a brief, turning a form submission into a booked, prepped client.
Side by side
Typeform vs Consultations, honestly
A fair look at what each does well. Both are capable tools. Here is where they differ.
| What matters | Consultations | Typeform |
|---|---|---|
| AI intake conversation | A real two-way conversation that qualifies, not a guided form | Conversational one question at a time forms and surveys |
| Lead qualification | Qualifies the lead against your criteria as it talks with them | Collects responses with logic; qualifying is up to you |
| Document collection | Asks for and collects the documents you need during intake | Supports file upload questions within a form |
| Books the paid appointment | Books the paid appointment at the end of the conversation | Ends at form submission; booking needs another tool |
| Prepped brief for the pro | Summarizes the lead into a clean brief before the meeting | Delivers raw form responses to your inbox or integrations |
| One unified front door | Qualify, intake, collect docs, book, and brief in one place | A forms and survey tool, often paired with other apps |
| Scope and guardrails | Intake, qualifying, scheduling, and admin only, never professional advice | A forms platform; it does not qualify, book, or advise |

Why pros pick Consultations
One AI conversation that qualifies, intakes, books, and briefs
An AI conversation, not a form
Instead of a static form or a calendar link, our AI talks with each lead in plain language, qualifies them against your criteria, and asks for exactly what you need to know.
The whole front door in one place
Qualify, intake, collect documents, book the paid appointment, and produce a prepped brief, all in a single conversation, so you stop stitching tools together.
You walk in prepared
Every booked meeting comes with a clean brief of who is coming and why, so you only take the right consultations and you are ready before the call starts.
Where a form ends and intake actually begins
A form is a request for answers, and Typeform is about as good as that gets. One question at a time, clean design, logic jumps, and completion rates that beat a wall of fields. If what you need is a survey, a lead capture form, or an application, the argument for switching is weak and we will say so.
Intake is a different job that happens to start with questions. When the form is submitted, the work is not finished, it has moved. Someone has to read the response, decide whether this inquiry is a fit, notice the three things the person said that the form had no field for, ask the follow up the logic branch did not anticipate, request the documents, and then find a time. That second half is where the hours go, and no form builder touches it.
The gap shows up most clearly in the follow up. Branching logic is powerful but it is decided in advance: if answer A, show question B. A person describing a real situation does not stay inside that tree. They answer vaguely, they contradict themselves, they mention something important in a field labeled anything else. A form records that and moves on. A conversation asks about it.
The second gap is the ending. A form ends at submission. An intake should end with a decision, and that means being able to say no. Nothing in a form builder can decline an inquiry, so every unsuitable person still lands in your inbox and still costs you the time it takes to work out they were unsuitable and reply.
- Branching logic is decided in advance; real answers are not
- A form cannot ask about the important thing said in the wrong field
- Documents usually move to a separate email chain after submission
- A form cannot decline an inquiry, so non fits still reach your inbox
- Submission is not the finish line, it is the handoff back to you
What Typeform does better than we do
Typeform is the better tool for anything that is genuinely a form. Surveys, feedback, event registration, job applications, research, quizzes, any case where you want a large number of people to complete something and you are not going to meet any of them. Its design quality is real and measurable in completion rates, and the template library and integration surface are far wider than ours.
It is also the better tool when the questions are fixed and the answers are simple. If every respondent needs the same eight fields and there is no judgment involved in what comes next, a conversation adds friction without adding information. Use the form.
One thing worth checking on either tool is the response cap, because it is the line item that surprises people. Typeform meters by responses per month: 100 on Basic, 1,000 on Plus, 10,000 on Business. For surveys that is generous. For a business whose inquiry volume is spiky, 100 responses is a limit you can hit in a good week, and the next tier is double the price. And if you handle health information in the US, HIPAA sits on Enterprise only, which rules out the published tiers entirely for clinical intake.

| Tool | Metered by | Published US price | Ends the inquiry with |
|---|---|---|---|
| Typeform | Responses per month | Basic $28 (100 responses), Plus $56 (1,000), Business $91 (10,000). Annual billing $25 / $50 / $83. HIPAA on Enterprise only | A submitted response in your inbox |
| IntakeQ | Practitioners | $54.90 forms only plus $20 per extra practitioner, $84.90 practice management plus $30. Low volume tiers $29.90 and $59.90 capped at 10 and 25 submissions | A completed form, with booking in the practice management tier |
| Calendly | Seats | Free tier, then $10 to $12 and $16 to $20 per seat. Enterprise from $15,000 per year | A booked slot, with no file upload |
| Consultations | Nothing. Flat per business | $49 to $299 per month by business size, at any inquiry volume | A screened inquiry, documents collected, appointment booked, brief written, or a polite decline |

Typeform alternatives: the questions buyers actually search
What is the best Typeform alternative?
It depends on what you are replacing. For cheaper forms and surveys, most form builders undercut Typeform on price with similar features. For client intake specifically, the better alternative is not another form but a tool that finishes the job: qualifies the inquiry against your criteria, collects documents, books the appointment, and can decline a poor fit rather than forwarding it to you.
How much does Typeform cost?
As published in July 2026, Typeform is $28 a month for Basic with 100 responses included, $56 for Plus with 1,000, and $91 for Business with 10,000. Annual billing brings those to $25, $50, and $83 a month. Talent is $119 and Growth Flow is $266. HIPAA compliance is available on Enterprise only, not on any published tier.
Is Typeform good for client intake?
It is good at the questions and stops short of the job. Typeform will collect intake answers with a better completion rate than a standard form, but it ends at submission, so qualifying, chasing documents, declining poor fits, and booking all remain manual. It also cannot ask an unplanned follow up, which is where most intake conversations produce their useful information.
Does Typeform have appointment booking?
Not natively as an intake outcome. Typeform integrates with scheduling tools such as Calendly so a respondent can be sent to a booking link after submitting, but that is two products and two steps, and the booking happens without reference to whether the answers qualified the person. Anyone who abandons between the form and the link is lost silently.
Is Typeform HIPAA compliant?
Only on Enterprise. Typeform documents HIPAA as Enterprise only, so none of the published Basic, Plus, or Business tiers are suitable for collecting protected health information in the US. If you run clinical intake, confirm the business associate agreement in writing before collecting anything, on any vendor.
