Whether the entry plan can book

This is the single biggest trap in this market. Dubsado Starter at $335 a year has no scheduling at all, and HoneyBook Starter at $29 a month has no Scheduler. If booking the call is the point of your intake, the real entry price is Dubsado Premier at $525 a year or HoneyBook Essentials at $49 a month, not the headline.

How many lead forms you get

Dubsado Starter allows one active lead capture form. HoneyBook Starter allows two, Essentials ten, and Premium unlimited. If you sell more than one service and want each one to ask different questions, the form cap decides your tier long before the feature list does.

What a second person costs

What client intake software costs for consultants and coaches

Three tools take most of this market, and all three publish their prices, which is refreshing if you have ever shopped for legal or medical intake software. We read each pricing page on 16 September 2026 and recorded what was actually displayed rather than what comparison articles say is displayed, because on this set of vendors the two differ quite a lot.

HoneyBook sells Starter at $29 a month billed yearly, Essentials at $49 a month billed yearly or $59 billed monthly, and Premium at $109 a month billed yearly or $129 billed monthly. Dubsado publishes only annual figures: Starter at $335 a year and Premier at $525 a year, with a note that choosing annual saves two months. Paperbell sells a single plan at $57 a month or $570 a year.

Several widely shared comparison articles currently state HoneyBook Essentials at $36.75 and Premium at $52.50, and Dubsado at $20 and $40 a month. None of those figures appear on the vendor pages as we read them. We do not restate numbers we cannot see on the source page, and neither should you when you are budgeting.

The entry plan that cannot book the call

If you take one thing from this page, take this. A consultant buying intake software is almost always trying to turn an inquiry into a booked, paid conversation. Two of the three cheapest plans in this market cannot complete that job.

Dubsado lists scheduling as a Premier feature, marked with a cross on Starter. So the $335 a year plan captures a lead on one form and then hands you back to email to arrange the time. HoneyBook is the same shape: the Scheduler first appears on Essentials, so the $29 Starter plan gives you a calendar view and templates but no way for a prospect to pick a slot.

That moves the honest entry price for a consultant who wants booking from $27.92 a month to $43.75 a month on Dubsado, and from $29 to $49 a month on HoneyBook. Paperbell is the exception: scheduling is in the one plan it sells. Compare the plans that do the job, not the plans at the top of the pricing page.

Where a form-based tool is the better buy

We sell against these tools, so read this next part with that in mind, and then go and check it. HoneyBook, Dubsado and Paperbell all send contracts, raise invoices and take client payments. Consultations does not. If your bottleneck is getting a signed agreement and a deposit out of the door, one of those three is the right purchase and we would rather say so than sell you the wrong shape of tool.

Paperbell in particular bundles a coaching website, packages, group sessions, digital downloads and online classes into one $57 plan with no add-ons. For a coach selling packaged programs, that is a genuinely complete stack and our product only covers the front of it.

Where we are the better buy is earlier in the sequence. A form waits. It asks the questions you thought of when you built it, in the order you built them, and it stops there. Seats are counted differently by every vendor here. HoneyBook includes no team members on Starter, two on Essentials and unlimited on Premium. Dubsado includes three additional users, then charges $25 a month for four to ten, $45 for eleven to twenty and $60 for twenty one to thirty, plus $10 a month per additional brand.
