Calendly Alternative: AI Client Intake That Qualifies Before It Books

Calendly is a clean, popular scheduling tool. It removes the back and forth of finding a time with a simple booking link, syncs with your calendar, and lets people self-serve a slot in seconds. For pure scheduling, it is fast and reliable, and it is easy for clients to use.

Consultations is built for the whole front door, not just the calendar slot. Instead of a link that books anyone, our AI runs the initial intake conversation in plain language: it qualifies the lead against your criteria, collects the details and documents you need, books the paid appointment, and hands you a clean prepped brief. You stop taking unqualified meetings and walk into every call already prepared.

In short

Last updated July 2026

Calendly is a scheduling link, so the right Calendly alternative depends on what the link is failing to do. If you want the same job done cheaper, Acuity Starter at $16 to $20 per month covers a solo calendar. If the problem is that the link books anyone who opens it, Consultations is the alternative: an AI intake conversation qualifies each lead against your criteria, collects the documents, then books the paid appointment and briefs you. Calendly runs free to $16 to $20 per seat per month with Enterprise from $15,000 a year; Consultations is $49 to $299 per month for the whole firm (prices checked July 2026).

Calendly is excellent at frictionless scheduling and calendar sync. Consultations adds the conversation that should happen before the booking: an AI intake that qualifies the lead, gathers the details and documents you need, books the paid appointment, and gives you a prepped brief, so every meeting is the right one.

Side by side

Calendly vs Consultations, honestly

A fair look at what each does well. Both are capable tools. Here is where they differ.

What matters Consultations Calendly
AI intake conversation Runs a real qualifying conversation with each lead, not just a form or a slot Provides a scheduling link; the conversation happens later, with you
Lead qualification Qualifies each lead against your criteria before it books a paid slot Schedules whoever opens the link; qualification is up to you
Document collection Asks for and collects the documents you need during intake Focused on scheduling; document collection is not its core
Books the paid appointment Books the appointment at the end of a qualified intake conversation Strong, simple self-serve booking and calendar sync
Prepped brief for the pro Hands you a clean summary brief of who is coming and why Passes along booking details from the form fields
Calendar sync and reminders Syncs the booked appointment to your calendar with reminders Best in class calendar sync and automated reminders
Scope and guardrails Handles intake, qualifying, scheduling, and admin only, never professional advice A scheduling tool; it does not advise or qualify

Why pros pick Consultations

One AI conversation that qualifies, intakes, books, and briefs

An AI conversation, not a form

Instead of a static form or a calendar link, our AI talks with each lead in plain language, qualifies them against your criteria, and asks for exactly what you need to know.

The whole front door in one place

Qualify, intake, collect documents, book the paid appointment, and produce a prepped brief, all in a single conversation, so you stop stitching tools together.

You walk in prepared

Every booked meeting comes with a clean brief of who is coming and why, so you only take the right consultations and you are ready before the call starts.

The problem with a booking link is that it books everyone

A Calendly link is a promise to meet whoever clicks it. That is exactly right for a demo you have already qualified or a client you already work with. It is expensive at the top of the funnel, because the least qualified people are usually the fastest to grab a slot. They have nothing to lose and an hour of your day to take.

Firms try to patch this with required questions on the booking form, and it helps a little. But a booking form still cannot ask a follow-up when an answer is vague, and it cannot decline. The slot is taken the moment the form is submitted. You find out the lead was outside your practice area, or outside your state, or nowhere near your fee range, while you are already on the call.

  • Unqualified leads book fastest because the link costs them nothing
  • Booking-form questions capture answers but cannot ask a follow-up
  • No file upload on Calendly intake, so documents move to a separate email chain
  • Routing on the Teams plan sorts leads to the right person; it does not screen them out
  • You read the answers, if at all, in the two minutes before the call

What Calendly does better than we do

Calendly earned its position. For scheduling a meeting between two people who have already decided to meet, it is faster and cleaner than anything a conversational tool can offer, and the free plan is genuinely usable. Its calendar sync, time zone handling and reminder engine are best in class, and its integration surface across CRMs, video tools and Zapier is far wider than ours.

If your bookings come from existing clients, warm introductions or a sales team that has already qualified the lead, a screening conversation is friction with no payoff. Keep the link. We are the better fit only when the people clicking it are strangers whose fit is unknown.

Per seat versus per firm: what growth actually costs

Calendly meters on seats. At $10 to $12 per seat per month on Standard and $16 to $20 on Teams, a five-person practice pays between $600 and $1,200 a year, and every hire raises the bill. Enterprise starts at $15,000 a year, which is where routing, SSO and admin controls live.

Consultations charges per firm: $49 for a solo professional, $129 for up to five, $299 for up to twenty. The number that matters is not the monthly figure but which direction it moves when you hire. Ours does not move.

Calendly alternatives: the questions buyers actually search

What is the best alternative to Calendly?

For a straight swap on scheduling, Acuity Scheduling at $16 to $61 per month is the closest, and it adds packages and memberships Calendly lacks. For teams that need routing and CRM depth, HubSpot Meetings is free with the CRM. If the real problem is that the link books unqualified strangers, a conversational intake tool that screens before booking solves it instead.

Is there a free alternative to Calendly?

Yes, several. Calendly itself has a free tier with one event type, and Google Appointment Schedules, Microsoft Bookings and HubSpot Meetings are included with subscriptions many businesses already pay for. Free schedulers all share the same ceiling: they book whoever clicks, so screening remains a manual job you do afterwards.

How much does Calendly cost per user?

As of July 2026 Calendly publishes Standard at $10 per seat per month billed annually or $12 month to month, and Teams at $16 annually or $20 month to month. Enterprise starts at $15,000 per year with custom seat pricing. The free plan covers one event type and one connected calendar.

Does Calendly qualify leads?

Only partially, and only on paid tiers. Routing forms on the Teams plan send respondents to the right person or page based on their answers, which is sorting rather than screening. Calendly does not ask follow-up questions, judge fit against your criteria or decline a poor-fit booking; the slot is taken when the form is submitted.

Can Calendly collect documents before a meeting?

Not natively. Calendly booking forms take text, multiple choice and similar inputs but do not include file upload, so documents usually move to a separate email request or a third-party form. That split is why many practices end up chasing paperwork in the days between the booking and the meeting.

Good questions

Calendly vs Consultations, answered

Yes, and it does more at the front door. You still get booking and calendar sync, but before a slot is taken the AI runs an intake conversation that qualifies the lead, collects documents, and preps a brief, so you only meet the right people.
No. Plenty of firms keep a scheduling link for existing clients and internal meetings and put the AI intake conversation only on the new-business front door, where fit is unknown. The two jobs are different and it is reasonable to run both.
Yes. Booking happens at the end of the AI intake conversation, so clients pick a time themselves, the appointment syncs to your calendar, and you receive a prepped brief before the call.
