Privacy Policy

How Consultations handles your information, with a clear commitment to never selling or training external AI models on your data.

Last updated June 2026

This Privacy Policy explains how Consultations ("Consultations", "we", "us") collects, uses and protects information in connection with consultations.ai and the Consultations client intake and consultation automation service. By using our website or service, you agree to the practices described here.

Information we collect

We aim to collect only what we need to run the service and improve it.

  • Account information. When you sign up or contact us, we collect details such as your name, work email and the name of your practice or firm so we can create your account and communicate with you.
  • Client and lead intake data. For customers, Consultations processes the information your intake workspace gathers, with consent, from the people you serve. Described generally, this can include a client or lead's contact details, the answers they provide to your intake questions, scheduling preferences, and documents or files they choose to upload. We process this data only to run the service for your practice.
  • Configuration and workflow data. We store the intake forms, qualification rules, scheduling settings and workspace content you create so the service can do its job.
  • Usage analytics. We collect aggregate, technical information about how the website and product are used, such as pages viewed, features used and general device and browser data, to keep the service reliable and improve it.

How we use information

  • To provide, operate and secure the Consultations service.
  • To run intake, qualify and triage incoming clients, schedule consultations, and reduce administrative work for your team. These outputs are tools to help your team decide, and we make no guarantee of a set number of bookings or amount of revenue.
  • To respond to your messages and provide support.
  • To monitor reliability, prevent abuse and improve features.
  • To send service and account communications relevant to your use.

Data processed on behalf of the professional

Personal data collected during intake belongs to the relationship between you, our customer, and the clients or leads you serve. Consultations processes that personal data on behalf of the professional, with consent, and only to provide the service. The professional decides what to collect and how it is used in their practice, and remains responsible for the professional relationship with their clients.

We never sell or train external models on your data

We do not sell your data, and we do not use your intake, client or lead data to train shared or general-purpose AI models. Your data is used to run the service for your practice, and for nothing else.

You own and can export your data

The intake records, client details and workspace content you create belong to your practice. You can export them at any time. Nothing locks your data in.

Data security

We protect data in transit and at rest using strong, industry-standard encryption. We apply the principle of least privilege to internal access, use role-based access controls, log access to sensitive data, and maintain administrative, technical and organizational safeguards designed to protect your information. No method of transmission or storage is perfectly secure, but we work continuously to maintain a high standard of protection.

Cookies and analytics

Our website uses cookies and similar technologies to keep the site working, remember preferences and measure aggregate usage. You can control cookies through your browser settings. Disabling some cookies may affect how parts of the site function.

Third parties and sub-processors

We rely on a small set of trusted service providers to operate Consultations, such as cloud hosting, data storage and email delivery. These providers act on our behalf under appropriate confidentiality and data-protection terms, and only to the extent needed to provide the service. We do not sell your personal or company information, and we share information only with these providers under appropriate terms or where required by law.

Data retention and deletion

We retain account and intake information for as long as your practice uses the service or as needed to provide it. When you close your account or ask us to delete data, we remove or anonymize it within a reasonable period, except where we must keep certain records to meet legal or security obligations.

Your rights

Depending on your location, you may have rights to access, correct, export or delete your personal information, and to object to or restrict certain processing. Where Consultations processes personal data on behalf of a professional, requests from that professional's clients are generally directed to the professional. To exercise any of these rights, contact us at [email protected] and we will respond in line with applicable law.

Children

Consultations is a business service and is not directed to children. We do not knowingly collect personal information directly from children. If you believe a child has provided us information directly, contact us and we will take appropriate steps to remove it.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the date above and, where appropriate, notify you. Your continued use of the service after an update means you accept the revised policy.
